What the letter should contain
- Company letterhead, address and contact details.
- Employee’s full name, position(s), dates of employment, and — for visa income tests — salary.
- Signer’s name and title; HR managers and officers are standard.
- Notarial acknowledgment of the signer’s signature (the notary confirms the signer appeared and signed; the notary does not verify employment).
Typical destinations
- UAE, Qatar, Kuwait, Saudi Arabia, Egypt — experience certificates for work permits and professional registration; non-Hague states require the authentication and embassy legalization chain; Saudi Arabia accepts apostilles.
- Germany, Netherlands, Spain, Portugal — proof of employment for residency and family reunification; remote-work and digital-nomad visas (Spain, Portugal, Croatia, Mexico) require apostilled employment contracts or letters.
- Latin America — employment letters for residency categories based on income.
- Canada, Australia — reference letters for skilled migration usually do not need apostilles.
Remote employers
Letters signed by officers in one state are apostilled by that state. For companies with no notary nearby, an officer can appear before a remote online notary in a state that apostilles electronic notarizations.
Recency
Visa files commonly require letters dated within 30–90 days.
Common reasons for rejection
- Letter without a notarization
- Signer's title missing
- Notarized by a notary from a different state than the apostilling office
- Letter older than the consulate's window
- Copy instead of original signed letter
Frequently asked questions
Does the notary verify my employment?
No. The notary verifies that the person who signed is who they claim to be. The apostille authenticates the notary.
Can HR sign electronically?
Only through a remote online notarization in a state that apostilles electronic documents, and only if the destination accepts them.
Is a pay stub apostillable?
Only as a notarized copy or via custodian affidavit; consulates usually prefer an employer letter.
